Operations Assistant

About the role and responsibilities

I am currently looking for an operations assistant to help manage the rapid growth of my personal brand and forthcoming nonprofit PAUSE. Successful candidates will support by keeping track of projects, deadlines, communications, and systems that are becoming more complex as the organizations grow. I am looking for someone who is comfortable communicating professionally with high-profile clients, funders, donors, and contractors, and who can manage incoming tasks and projects at a fast-paced rate.

At Forneret Co., we provide unique, honest, customized grief-related resources and services to help individuals and groups navigate grief and grieving. Our services educate about the realities of grief and grieving, as well as provide space for all to feel seen and heard in their experience. The mission of PAUSE is to create spaces that produce safe, culturally-specific, and expert-informed grief and end of life resources serving Communities of Color. Learn more about PAUSE.

Salary: $1200 USD per month
Hours: 40 hours per month
Start date: April 2022
Schedule: Mondays - Fridays, weekly
Location: Remote but must be US West Coast-based (or willing to work Pacific Timezone hours M-F)

Key duties and responsibilities

Managing Communications (Incoming and Outgoing)

  • Monitoring inbox and filtering messages from all inboxes

  • Strategizing to streamline overall communications process 

  • Ensuring that all contacts are added to contact management system 

  • Monitoring all LinkedIn, Slack, and social media inboxes

  • Attending live meetings (as needed)

  • Supporting in outreach for partners

Managing Company Calendars 

  • Syncing (updating and aligning) Calendly and company calendars

  • Tracking all events, engagements, and programming on calendars

Project Management

  • Setting up complex operational management systems in Asana

  • Providing weekly updates re:wins, roadblocks, and work on deck 

  • Receive and translating/actioning on incoming ideas and tasks from Alica Forneret 

  • Drafting and submitting proposals and pitches to prospective partners, clients, and funders

  • Minor website updates

Managing Finances

  • Submitting invoices and timesheets for projects 

  • Making purchases (personal and business-related)

  • Managing recurring orders (personal and business-related) 

  • Opening, updating, and closing accounts

  • Updating monthly and quarterly budget sheets

Misc

  • Research PR opportunities

  • Research Public speaking opportunities

  • Research Partnership opportunities 

  • Research Board seat opportunities

Necessary strengths and experience

  • Project management

  • Systems development and streamlining

  • Working collaboratively with team members 

  • Financial management

  • Contact management 

  • Writing and editing (short-form, comms, and/or marketing - preferred)

Abilities

  • Effective communication: Offer open, honest, and effective communication internally at Forneret Co. and externally with business contacts

  • Efficient in ambiguous situations: Skilled at building processes and problem-solving in situations that don’t have clear structure or roadmaps.

  • Solid organizational skills: Possesses habits and processes for staying organized while managing an array of tasks, responsibilities, and goals 

  • Comfort with decision-making: Willing to make informed decisions without micromanaging and constant direct oversight 

  • Innovative: Able to conceptualize and execute on new processes, projects, and ideas

  • Growth mindset: Willing to take risks to achieve learning and growth
